Windows 11 New OS User / Desire to Change Default Setting For Saved Files

To whom can help,I recently onboarded to a small business. I was issued a laptop from a previous employee. I keep running into issues when I go to save files that the default location is a profile under the OS (C Drive). For example, I have a scanning software that defaults to downlaoding files to user>appdata>local of the previous employee. As a second example, if I want to open outlook templates, the default folder is that previous employees roaming profile.When I go to change the setting under system properties>user profiles I've noticed I'm currently the local profile but I'm not
